Important Information on Registration, Payment and Cancellation Policies and Processes


REGISTRATION PROCESSING

  • Refer to the table below for registration processing dates.
  • All registrations received on or before the registration processing date will be run through a random drawing.
  • Registrations received after the registration processing date will be taken on a first-come, first-served basis, until events are full.
  • All registrations receive a status notification by mail. Notification of registration status will be received by mail within 10 business days of the processing date. Notification will be in the form of an invoice if your troop/group gets into an event, or a waiting list letter if the event is full. If you do not receive a notification, please call the Program Registrar at (763)971-4052.

PAYMENTS AND CANCELLATIONS
  • Each troop that is registered for an event will receive an invoice for each event.


  • Payment is due four weeks before event dates. Payment for events can be made with cash, VISA/MASTERCARD, check or Troop/Girl Cookie Credits four weeks before the event date.


  • Cancellations and reductions in registered numbers must be received by four weeks before the event date. Troops/Juliettes (solos) are responsible for the original number of girls and adults registered for an event at the four week deadline.


  • Troops/Juliettes (solos) are not cancelled from events if payment is not received. A cancellation must be received by the four week deadline for fees to be waived.

  • If a registration is received less than four weeks before an event date, no cancellations can be made. If you are registering for an event less than four weeks before the event date, get firm numbers of girls and adults that will attend before registering.

  • Troops that continually do not show for events will jeopardize future participation. Troops will not be allowed to register for an event if they have an outstanding balance with the council.

Event information materials are sent three to four weeks before an event, once full payment has been received. Event information materials include directions to the event site, instructions regarding what to do beforehand, and what to bring to the event.

  • Financial Assistance (FA) is available for council events. Complete the Application for Financial Assistance form below and return it to the financial assistance liaison at the Brooklyn Center Service Center. FA will be received in the form of a check made out to the troop/group.

    BEFORE YOU REGISTER
    • Determine if your troop is ready to attend a council event. Attending a council event takes a commitment of drivers, time, and money. If your troop is ready to take on such a commitment, then continue the planning process.

    • Use girl planning! Allow the girls to choose events of interest and make decisions for their schedules.

    • Review the Registration, Payment, and Cancellation guidelines. Share this information with co-leaders/advisors, girls, and parents/guardians.

    • Plan for adding new members into your troop by including them in your registration numbers. Be sure to follow the cancellation guidelines if these numbers need to be reduced.

    • Help girls plan for the possibility that their first choice may be full. Figure out what works best for your troop: choosing "back-up" council events, waiting on the waitlist or planning a similar event within your group.
    Inform girls and parents/guardians about the opportunities available. Let them know they can register for events on their own if they are interested in something the troop/group is not planning to attend.

    OTHER INFORMATION
    USE OF COOKIE CREDITS (PROGRAM/CAMP CREDIT)

    Girl Cookie Credit Coupons may be used to help cover the cost of:
    • Council Events
    • GSUSA destinations
    • Resident camp at Camp Elk River and Camp Greenwood
    • Council approved day camps
    • Approved troop trips for STUDIO 2B members (Girl Scouts in grades 6-12)
    • Approved Silver and Gold Award completed projects (credits issued 2004 and after)
    Troop Cookie Credit Coupons may be used to help cover the cost of:
    • Troop's Council Campsite rental fees
    • Council Equipment rental
    • Site cost portion of a troop's fee for a Service Unit encampment/event held at a council campsite
    • Council Events
    • Approved troop trips for STUDIO 2B members (Girl Scouts in grades 6-12 grade)
    Cookie credits will not be redeemed for programs/camps operated by other Girl Scout councils except resident camp. Credit refunds are not given on program/camp fees.

    **Troop Cookie Credits must be used to benefit the entire troop.**

    EVENTS THAT TAKE PLACE THROUGH THREE RIVERS PARK DISTRICT
    The weekday events that take place through Three Rivers Park District take place from 4:15-5:45 pm. The reasons are:
    • these events take place outside.
    • it is often dark by 6:00.
    • there are rules of each park regarding program end times.
    Please note, there are four events listed that take place on Saturdays: Harvest Festival, Winter Fun Day, Celebrate Earth Day and Rendezvous.
