Service Unit Communications Representative

Summary of the Service Unit Communications Representative Position Description

The Communications Representative:

  • Writes news articles about service unit Girl Scout news and events for local media, once a month.
  • Takes photographs of troop and service unit events, places photos in local newspapers or offers them to the council communications specialist.
  • Informs council communication specialist of service unit events and news.
  • Helps leaders and SU build communication plans into their projects and events.
  • Develops a SU newsletter, email system or website that includes parents.

Time Commitment for this Position

The work of a Service Unit Communications Representative can vary month to month, depending on scheduled events; however, communication within the service unit and the council's communications specialist can be maintained year around. As recruitment events, programs, cookies sales and other potential news occur, that person tries to get Girl Scout photos and information to the local media.

Skills and Abilities Needed for this Position

The Communications Specialist needs some writing and photography skills, or be willing to develop these skills. The skills needed for developing a newsletter or website are also useful, but not necessary.

This is also an excellent position for a Senior Girl Scout or young adult Girl Scout looking to develop English, communications, journalism or marketing skills.



Service Unit Cookie Manager & Region Cookie Cupboard Manager

Summary of the Service Unit Cookie Manager & Region Cookie Cupboard Manager Position Description

The Service Unit Cookie Manager & Region Cookie Cupboard Manager:
  • Promotes the Girl Scout Cookie Program Activity in the service unit.
  • Makes sure Troop Cookie Managers are recruited and compiles a roster.
  • Distributes materials, trains and supports Troop Cookie Managers throughout the entire process.
  • Processes cookie orders & reorders, receives payments and checks accuracy of all paperwork.
  • Turns in all paperwork to the council and assists with all follow-ups as necessary.

Time Commitment for this Position

New SUCM & CCM training takes place in October. The Cookie Kick-Off is in October. Troop Cookie Managers are trained in October - December. Girls take orders in January and February, cookie delivery and cookie booths are in March. Final paperwork is due to the Service Unit Cookie Manager in March.

Skills Needed for this Position

The Service Unit Cookie Manager & Region Cookie Cupboard Manager needs internet access, must be able to keep extremely accurate and detailed records, coach and motivate people unfamiliar with detailed records, and be able to organize and maintain multiple priorities.

Service Unit Delegate


Summary of the Delegate Position Description

The council Delegate's (adult and girl) responsibilities include the following:

  • Elect officers and other Board of Directors' members, Nominating Committee and National Convention Delegates.
  • Per Board of Director's request, give broad, general direction on policy issues to the board.
  • Carry out the process of Volunteer Voice at the service unit level.

Time Commitment for this Position

  • The Delegate's term is one year and can serve three terms.
  • The Delegate attends the council's annual meeting in January and any other special meeting that may be called by the Board of Directors.
  • The Delegate is also responsible for communicating information from the Board and the Volunteer Voice Committee to their service unit.

Skills and Abilities Needed for this Position

The Delegate needs good listening and communication skills and the ability to think and act according to the big picture for all girls and adults in the council. The delegate must be familiar with council policies, and exhibit welcoming and inclusive behavior.

  • Training for new delegates will be offered in January of each year.
  • Attendance at training for experienced delegates is optional.

Service Unit Events Coordinator


Summary of the Event Coordinator Position Description

The Event Coordinator works with the service unit team and service unit manager to:

  • Assess, develop, implement and evaluate all service unit events.
  • Recruit and train event specialists/committees to plan and carry out events.
  • Supervise all event specialists/committees/troops planning events for the service unit.

The Event Coordinator ensures that excellent program and health, safety and security requirements of the council are implements so that all events are reflective of good Girl Scout program and risk management practices.

Time Commitment for the Position

The Event Coordinator is busy throughout the Girl Scout year for weeks and sometimes longer prior to all service unit events. The Event Coordinator can usually expect others to share the planning and implementation workload, and concentrate mainly on supervising and administrating all unit program events.

Skills and Abilities Needed for this Position

The Event Coordinator should be a knowledgeable and well trained Girl Scout who has experience with risk management, safety, emergency preparedness and program events.

Service Unit Family Partnership Chair


Summary of the Family Partnership Position Description

The Service Unit Family Partnership Chair:

  • Promotes and supports the Family Partnership Campaign in the service unit.
  • Attends Family Partnership training.
  • Makes sure Troop Family Partnership Chairs are recruited and compiles a roster and informs the Council's coordinator.
  • Distributes materials, trains and supports Troop Family Partnership Chairs throughout the campaign.
  • Collects envelopes/paperwork from ALL troops and deliver to the council by the deadline.
  • Follows-up with troops as necessary.

Time Commitment for the Position

All Service Unit Family Partnership Chairs need to attend training in February. Troop Family Partnership Chairs are trained and receive materials in March. The campaign is run in April. Final paperwork is due to the Brooklyn Center Service Center by the end of May.

Skills and Abilities Needed for this Position

The Service Unit Family Partnership Chair needs good organization, verbal and written communication skills, along with conflict resolution skills and the ability to be a team player. They also need an understanding of how Family Partnership dollars help fund the Girl Scout programs supported by GSCGM and be able to explain the necessity to others. The ability to ask Girl Scout family members to contribute financially to the Girl Scout Council of Greater Minneapolis is also necessary.

Service Unit Organizer Recruiter


Summary of the Organizer Recruiter Position Description

There are three main Organizer Recruiter responsibilities:

  1. Recruiting girls and adults year around
  2. Organizing troops and groups
  3. Coordinating recruitment events

Organizer Recruiters check references, complete troop status reports in the spring, and work with the service unit team to make ongoing and yearly plans for girl and adult recruitment and organization of troops/groups. They mentor new Organizer Recruiters and support the work of Girl Scouts, providing service to girls and leaders in troops and groups.

Time Commitment for this Position

While service unit Organizer/Recruiters organize girls and adults into troops all year, they work especially hard in the fall. Spring Registration and Troop Status Reports can be time consuming in the spring.

Skills and Abilities Needed for this Position

The Organizer Recruiter needs a good command of detail and organization skills, sales and marketing abilities plus excellent oral communication skills.

Service Unit Orientation Specialist

Summary of the Orientation Specialist Position Description

The Service Unit Orientation Specialist manages the process of Orientation for new Girl Scout adults. The Orientation Specialist:

  • Positively represents Girl Scouts.

  • Provides classroom training or self-study materials for new Girl Scout volunteers.

  • Uses the provided Orientation Training plan and materials for classroom presentations.

  • Promotes further training and attendance at adult support meetings.

  • Documents completion of all Orientation by volunteers and returns that documentation to the Orientation Training Manager in a timely fashion.

  • Represents the interests of new volunteers and their adult development as the service team plans for support for troops and girls in the service unit.

Time Commitment for this Position

The service unit Orientation Specialist is busiest in the fall, as many new adult volunteers enter our organization. While Orientation takes place all year, the workload is lighter at other times.

Skills and Abilities Needed for this Position

The Orientation Specialist is a teacher and mentor, and needs to be able to organize materials, make presentations, be accurate and timely with documentation, and exhibit welcoming and inclusive behavior.

Returning Orientation Specialists need to attend an OS Update. The Orientation Plan has changed again. New Orientation Specialists need to attend an OS Training.

Service Unit Registrar


Summary of the Registrar Position Description

The Service Unit Registrar makes sure all girls and adults in the service unit receive GSUSA membership materials and register on time. The Registrar:

·         Edits all troop registrations for accuracy.

·         Registrations to the council office within three working days.

·         Follows up on all additional registrations.

·         Plans with the service team to implement a plan for spring registration.

·         Makes sure all girls are registered before they sell cookies.

·         Helps with publication of a service unit roster.

 

Time Commitment for this Position

The Service Unit Registrar is very busy processing GSUSA registrations in September and October of each year. Other busy times are December and January as the Registrar makes sure girls are registered so they can sell cookies, and April during the Spring Registration Campaign.

Skills and Abilities Needed for this Position

The Service Unit Registrar has to be able to maintain a high level of detailed accuracy on forms, and must exhibit welcoming and inclusive behavior toward people.

Service Unit Resource Coordinator


Summary of the Resource Coordinator Position Description

The Resource Coordinator is accountable for promoting quality Girl Scout program by presenting current information, coordinating a variety of learning opportunities and providing other program assistance for troops and leaders. A Resource Coordinator does this by:

·         Arranging for frequent needs assessment and suggestions from leaders.

·         Facilitating discussions, recruiting workshop leaders and securing speakers for service unit meetings or events.

·         Collaborating widely with community organizations in a search for sponsorships, service opportunities and program opportunities.

·         Partnering with council staff and volunteers across service unit lines to provide exceptional opportunities for troops and leaders.

·      

Time Commitment for this Position

The Resource Coordinator should be presenting or making arrangements for others to present at each leader meeting or other workshops or events throughout the year.

 

Skills and Abilities Needed for this Position

The Resource Coordinator needs to be a welcoming and inclusive presenter of information, an organizer of a variety of information, and good at matching needs and resources.
